Terminology Guide
A reference guide to the key concepts and terms used when describing the Wrenwickle system, its interface, and its classification process.
Shared Language for a Structured System
When working with an information-organisation system, the words used to describe its components matter. Terms like "record", "category", and "classification" have specific meanings within the Wrenwickle context that may differ slightly from everyday usage. This guide explains how these terms are used consistently across the platform's documentation, interface, and support communications.
Using the same vocabulary helps users understand what the system does, ask useful questions, and interpret the interface accurately. The guide below covers the most commonly used terms in approximately the order a new user is likely to encounter them.
Core Concepts
- Record
- A single unit of information held by the system. A record may be a piece of text, a structured entry, or a discrete item of any supported type. Records are the basic units that the classification engine processes.
- Category
- A named grouping within the classification scheme. Each category represents a subject area, type of record, or other organising principle. Records are assigned to one or more categories during classification.
- Classification
- The process by which the system assigns a record to a category or set of categories. Classification is performed by the AI-assisted classification engine, which analyses the content and structure of each record.
- Classification Scheme
- The complete set of categories available in the system at a given time. The scheme is maintained by the Wrenwickle team and may be updated as the system's scope evolves.
- Unclassified Queue
- A holding area for records that the classification engine could not assign to any existing category with sufficient confidence. Records in the unclassified queue are reviewed by the support team or flagged for the relevant user to raise a support request.
- Classification Confidence
- A measure of how certain the classification engine is that a record belongs in the category to which it has been assigned. Higher confidence indicates a clearer match. Lower confidence may lead to a record being flagged for manual review.
- Group
- A collection of records that share one or more attributes, such as subject matter, record type, or submission period. Groups are maintained dynamically and are presented within the interface as collections within a category.
- Hierarchy
- The nested structure of categories and sub-categories within the classification scheme. The hierarchy allows users to navigate from broad subject areas to specific sub-topics.
Interface Terms
- Review Interface
- The user-facing area of the system through which classified records are viewed. The review interface presents records in a structured, navigable format and provides filtering and sorting tools.
- Category Navigation
- The panel within the review interface that displays the classification hierarchy. Users can expand and collapse branches to move between categories and sub-categories.
- Record View
- The main panel of the review interface that displays individual records or groups of records belonging to the selected category. Each record entry shows a summary before the full detail is opened.
- Summary Panel
- A component displayed at the category level that provides an at-a-glance view of how many records the category contains, when the most recent record was classified, and whether sub-categories exist.
- Filter Toolbar
- A set of controls above the record view that allow users to narrow the displayed records by date range, record type, or keyword.
- Highlight Suggestion
- An optional interface feature that brings certain records to the user's attention based on navigation patterns. Highlight suggestions are informational only and do not indicate that a record has greater importance than others.
Process Terms
- Intake
- The stage at which information enters the system. During intake, records are accepted, validated for format, and queued for classification. Records that do not pass validation are returned with an explanation.
- Parsing
- The process by which the system reads a record's content and identifies its key attributes, such as type, subject, date, and relationships to other records. Parsing precedes classification and does not alter the record's content.
- Access Request
- An enquiry submitted through the contact channel in which a user requests access to the Wrenwickle system. Access requests are reviewed individually and do not confer automatic access.
- Support Enquiry
- A message submitted through the contact form that is not specifically an access request. Support enquiries may relate to technical questions, feedback, or general questions about the system's capabilities.
